Purpose
As part of, within the framework of the application procedure, Aalen University of Applied Sciences works together with the company BITE. Your data is required for the personnel selection process. Applicant management software is used to support this, although decisions are not based exclusively on automated principles. Specifically, we first store the data provided to us. On the basis of this data, we check whether an invitation to an interview can be considered as part of the selection procedure. If there is fundamental eligibility, we collect further personal data that is essential for the selection decision. If you are considered for employment, we will inform you of this additional data to be collected.
Legal basis and storage period:
The processing is carried out on the basis of Art. 6 para. 1 lit. b) GDPR in conjunction with. § Section 15 LDSG in conjunction with. Art. 88 GDPR.
If your Application contains information on special categories of personal data, Art. 9 para. b) + h) are also relevant.
We store your personal data obtained as part of the personnel selection process for at least six months.
In the event of an unsuccessful application or its withdrawal, we will also destroy or delete the data you have submitted after six months following rejection. The retention or storage of the data is required, within the framework of the aforementioned deadlines, in the event of any legal action and for the oral defense of legal claims.
If you give your consent to be included in an applicant pool, we will store your data for a maximum of 12 months.
Data types and recipients of the data:
The data processed includes in particular salutation, first name and surname, contact details, date of birth, highest educational qualification, severe disability (voluntary), photo (voluntary) if applicable, application documents.
Your data will be passed on to internal administrative departments or persons to the extent required to carry out the personnel selection procedure, insofar as they are involved in the application procedure, as well as to the Staff Representation, insofar as participation rights exist accordingly.
The company BITE, which is involved in the application management software, is also involved. We have concluded a contract for order processing with BITE GmbH.

Talentwunder
Purpose
We use the Talentwunder tool (Talentwunder GmbH, Berlin) to research and approach potential candidates. The tool provides publicly accessible job-related information from networks. We only process data that is publicly accessible and has been published to us by the data subjects themselves.
Legal basis and storage period:
The processing is carried out to recruit personnel and thus to fulfill our public tasks in accordance with Art. 6 para. 1 lit. e) GDPR in conjunction with § 2 LHG i.V.m. § 4 LDSG BW. Data from the search will only be stored for as long as it is required, necessary for the recruitment process and will be deleted at the latest after the end of the selection procedure, provided that none of the law requires us to retain it.
Data types and recipients of the data:
In particular, professional information such as name, qualifications, personal background and current position are processed. This is data that is publicly accessible and has been published, to the data subjects themselves. The data is processed internally exclusively by persons entrusted with the recruiting process. Rights of data subjects:
Data subjects can request information, rectification, erasure, restriction of processing and object (pursuant to Art. 15 to Art. 21 GDPR). Automated decisions on an individual case (on an individual basis), including profiling, do not take place.
LinkedIn Recruiter
Purpose
We use the LinkedIn Recruiter tool from LinkedIn Ireland Unlimited Company, Wilton Place, Dublin 2, Ireland, as part of our recruitment process. We use LinkedIn Recruiter to research publicly accessible profiles of potential candidates and contact them specifically to draw their attention to vacancies at the institution of higher education and invite them to apply.
Legal basis and storage period
The processing is carried out exclusively for the purpose of establishing contact in the context of personnel recruitment and on the basis of our public mandate pursuant to Art. 6 para. 1 lit. e) GDPR to draw the attention of qualified applicants to vacancies.
Scope of data processing
We only process the information you publicly provide on LinkedIn. None of your data will be stored or passed on by us beyond this. If you apply for a position that we have addressed, your data will be processed within the framework of the application procedure in accordance with our separate data protection information for applicants.
Recipients of the data
As part of the research and contact process, your data will only be used to contact you and will not be stored. LinkedIn processes your data on its own responsibility in accordance with the LinkedIn privacy policy.
